HOW TO JOIN
Select a registration stage.
There are three stages of registration that must be completed in order for a member to be prepared for the season.
STEP 1
Create an account on njcaaesports.org.

Once invoiced, you will receive an invite from the National Office that you must use when creating your account.

If you or someone at your institution have not yet received an invite, please reach out to National Office staff and they will be able to assist.

If you are the lead for your institution's esports program and you do not have a personal account on njcaaesports.org, you and your institution must follow the New Member registration steps.

You must make sure to use your institution email when creating this account.

If your institution email is being rejected, please reach out to esports@njcaa.org.

You can track your membership renewal/registration steps by logging in to njcaaesports.org, going to “My Account”, and clicking on “Institution Information”, or by logging into your njcaaesports.org account and going to njcaaesports.org/join.
STEP 2
Program Information Form.

This is a form that each member institution must fill out annually. It includes:

Updated contact information for pertinent institution contacts.
-
Media & Broadcasting plans.
-
Certification of correct information.
-
Signature.
-
STEP 3
Pay Annual Membership Dues.

NJCAAE membership periods run from August 1st - July 31st every year.

Invoices are mailed out starting in June of the previous membership year. The payable 30-day term of the membership invoice begins on August 1st of each year.
STEP 4
Join the official NJCAAE Discord Server.

At least the institution’s primary lead must join the Discord server!

NJCAAE Program Lead Roles will be assigned once membership is confirmed.

STEP 5
Move on to Program Education Requirements.

Institution's who plan to participate in Tier 1 and Tier 2 activity must meet Program Education Requirements to be eligible.

To make sure you are completing all necessary steps, and prepared for upcoming competition, select the status that best fits your institution.

PROGRAM INFORMATION FORM
Institution Name
Primary Contact Info
This is the individual who oversees and operates the day-to-day operations of the esports program.
Administrator
This is the individual with primary signing and decision making power for the esports program. They normally are the direct administrator for the esports programs Primary Contact.
Secondary Contact
This individual may be contacted.
Person to Invoice
This is the person the National Office will send invoices to.
Institution President
This is the institution's current President or top official.
Admissions Lead
The head administrator for the Admissions Office.
Media & Broadcasting
NJCAAE requires that members ask for permission to stream all content related to the NJCAAE on the esports program's or institution's chosen broadcasting and recorded mediums ( twitch.tv, youtubelive, facebook live, etc... ).
Does your institution intend on streaming/broadcasting any form of NJCAAE content?
This could be through multiple means, including but not limited to: Twitch.tv, Youtube, Facebook Live, etc...
Certification & Agreement
By marking "I Understand & Agree" you signify that you understand the following:

completion of this form is required for NJCAAE members to participate in the competitive seasons of play;

you will need to complete individual registration for each team you wish to participate in any NJCAAE activities on the correct corresponding competitive platform;

you understand and agree to all NJCAAE Bylaws, guidelines, rules, and codes.

Move on to Program Education Requirements.

Institution's who plan to participate in Tier 1 and Tier 2 activity must complete the applicable Program Education Requirements to be eligible for participation at these tiers of competition.
STAGE 2 - Program Education Requirements

Association Update Program.

The Association Update Program is a program focused on giving esports administrators and coaches of member institutions information on pertinent changes for the new membership year.

At least the primary esports lead for the institution's esports program must complete the Association Update Program to be eligible for Tier 1 and/or Tier 2 competition.

Not completing the program will mean that any teams registered to Tier 1 and Tier 2 competition will be rendered ineligible and not placed into Tier 1 and/or Tier 2 activity.

New Administrator Onboarding Program.

Institutions must have an administrator or program lead who is certified in the New Administrator Onboarding Program for entry into Tier 1 and Tier 2 competition.

New Administrators and Program Leads of esports programs must be certified in the New Administrator Onboarding Program.

Esports Program Preparedness Survey
Complete the Esports Program Preparedness Survey to get an understanding of what level of activity your institution is ready for!
Institution Name
How many staff members, administrators, and coaches, whether volunteer or paid, does your institution have operating the esports program?
What type of institutional staff support is accessible to students, tournament administrators, and association staff during match times?
How many years has your institution fielded teams for competition which requires student eligibility be met?
What steps do you take in your process to onboard new students to varsity teams?
In the past three seasons, have any of your teams in competition which requires student eligibility be met received any withdrawals, major sanctions, or removals?
Do you, your staff, your administrators, and your students all know where to find and understand all NJCAAE Bylaws, Rules, Structures, Support Forms, and general information?
When do your varsity teams begin practice for the year?
Will you have the teams you plan on registering for Tier 1 and/or Tier 2 competitions fully manned by the first week of September?

Begin Season Competition Registration.

At this point in time, you are okay to start creating teams and working through seasonal registration.
STAGE 3 - Season Competition Registration
STEP 2
Complete the Team’s Preparedness Survey for each team created.

Designated teams who are planning to participate in Tier 1 and/or Tier 2 competition must have a Team Preparedness Survey submitted for review.

Teams who have been designated as requiring a Team Preparedness Survey must submit a completed survey to be considered for Tier 1 and/or Tier 2 eligibility.
STEP 3
Complete the Team’s Season Registration.

Once a team has been approved for full registration to the level of play they're signing up for, registration must be completed.
